Office assistant
Position Overview
The Penn Woods Classical Academy (PWCA) Office Assistant plays a vital role in supporting the efficient operation of our Classical Christian school. This position requires exceptional organizational skills, strong communication abilities, and a commitment to upholding the values and mission of the school. Office assistant provides essential administrative support to the school’s leadership, staff, students, and parents, thus ensuring the smooth functioning of daily operations.

Salary Range: $30,000-$35,000
Responsibilities
Communication and Correspondence

Act as a primary point of contact for Penn Woods Classical Academy administration office. Project and promote the academy’s Christ-centered Classical joyful outlook, mission, and vision by warmly welcoming all parents, students, staff, and visitors each and every day.

Warmly answer phone calls and responding to inquiries promptly and professionally.

Maintain regular communication with parents, staff, and other stakeholders, providing information, updates, and addressing or directing any concerns to the appropriate administrator.

Manage incoming and outgoing mail, emails, and all other forms of correspondence.
Administrative Support

Provide administrative support to the school’s leadership, including the Head of Schools, other school leadership, and all other administrative staff.

Assist in managing the school’s calendar, scheduling appointments, and coordinating meetings.

Prepare and distribute correspondence, memos, reports, and other relevant documents.

Maintain accurate and up-to-date records, including student and staff information, attendance records, and school policies.

Coordinate documentation of the implementation of human resource and other Personnel policies, management of human resources portal, and communication of/between stakeholders as needed regarding implementation of and tracking of all personnel policies and procedures.
Student and Faculty Support

Coordinate student attendance and manage attendance records.

Support faculty and staff by providing assistance with administrative tasks, such as preparing materials, organizing files, and coordination of meetings.

Assist in organizing school events, meetings, and special programs, including logistical coordination, and preparation of necessary materials.

Work with leadership to maintain inventory of office supplies and equipment, staff and student materials, and arrange purchasing for these items.
Marketing

Assist in enhancing and growing the academy’s presence in the community including but not limited to managing the academy’s website, newsletter, email campaigns, and Social media: Facebook, Instagram, and LinkedIn, etc. by creating, editing, or communicating pertinent correspondence, events, and articles.

Coordinate content and disseminate the newsletter via email campaigns, social media, and other website announcements.

Experience with managing websites are preferred, however, administration can train on website management.

Qualifications

High school diploma or equivalent; additional administrative certifications or coursework is preferred.

Proven experience in an administrative role, preferably in an educational setting.

Strong organizational and time management skills, with the ability to prioritize tasks effectively.

Excellent verbal and written communication skills.

Proficient computer skills; experience preferred for Google Workspace (Education Suite), Microsoft Office Suite, Squarespace website management, Salesforce platform, and other relevant platforms.

Ability to work independently, as well as collaboratively in a team-oriented environment.

Familiarity with Classical Christian education principles and values is desirable.

Committed to the well fare of children; have a passion for enhancing the Christ-centered joyful outlook focus; and duty to integrity in personnel conduct, for transparency in operations, and advocate that parents are the primary educators of their own children.

Clearances as required by the PA Department of Education for education personnel.

Completed or commitment to completing mandated reporter and protecting God’s children training.

Acknowledge, agree to, and uphold the Nicene Creed as part of personnel conduct policy.
